The problem
A small trades firm runs on a diary, a WhatsApp group and a spreadsheet — or pays for field-service software built for contractors with fifty engineers and an office team to feed it. The owner is on the tools all day, the paperwork happens at night, and gas and F-Gas renewals slip because nobody had time to chase them.
What we built
- AI job intake: paste an email, a voicemail transcript or a web enquiry and the job is drafted — title, fault, priority, type — with the customer and site matched or created
- A drag-and-drop dispatch board per engineer, with clash detection and AI route ordering
- A field app installed from a link that works with no signal: on my way, arrived, leave site — job sheets, photos and signatures on site, and no office menus or money in sight
- CP12, F-Gas, Minor Works and service records, with registration checks and renewal reminders at 60, 30 and 7 days
- VAT-correct invoices from completed jobs, card payment links and automatic reminders, plus a Xero-ready export, and a private portal where each customer sees their jobs, quotes, invoices and certificates
- A way in for firms stuck elsewhere: free migration from Joblogic and a trial that runs to the end of their current contract
Under the bonnet, in plain English
The interesting engineering is in the parts nobody sees: a field app that keeps working in a basement with no signal and settles up when it finds one, each firm’s data kept to itself, and certificates laid out the way the registration bodies expect. Pricing is per engineer with office staff free, because the people doing the admin should not be the reason software costs more.
